About Us
At the Melbourne Headache Centre & Concussion Central, Docklands, we specialise in helping people overcome chronic headaches, migraines, and concussion symptoms through advanced assessment and treatment.
We pride ourselves on providing a calm, caring, and professional environment where every team member contributes to improving our patients’ lives.
We’re now seeking one or two friendly, dependable, and detail-oriented people to join our team as Receptionists / Client Services Administrators. This may suit either a single part-time employee or two people sharing the role across the week.
About the Role
As the first point of contact for patients and visitors, you’ll play a vital role in creating a warm and welcoming experience. You’ll manage front-desk operations, coordinate appointments, handle inquiries, and support our practitioners to ensure the clinic runs smoothly each day.
This role is ideal for someone who enjoys working with people, takes pride in being organised, and values a calm, positive workplace.
What You’ll Be Doing
- Greeting patients and visitors with warmth and professionalism
- Managing phone calls, emails, and appointment bookings
- Assisting patients with forms and check-in/check-out procedures
- Processing payments and handling daily reconciliation
- Maintaining accurate and confidential patient records
- Designing social media posts using Canva
- Keeping the reception and waiting areas tidy and inviting
- Liaising with practitioners to coordinate smooth daily schedules
- Supporting the Practice Manager with administrative tasks and projects
About You
You’re a dependable and punctual professional who enjoys making patients feel welcome and supported. You’re reliable under pressure, organised, and have exceptional attention to detail.
You’ll bring:
- Previous experience in reception, customer service, or administration (healthcare experience highly regarded)
- Strong communication and interpersonal skills
- Excellent organisation and attention to detail
- Confidence using computers and online systems (experience with Nookal or similar software is a plus)
- Experience designing media with Canva
- A caring and professional approach with a genuine interest in helping people
